Billing software is the one system a shop uses with every single customer. Prices online run from a few hundred rupees a year for a phone app to tens of thousands for a desktop licence, and custom systems cost more again. The price on the plan page is rarely what you end up paying: hardware, setup, staff training, renewals and GST all add to it.
This guide explains the three ways shops pay for billing software, what a typical shop actually needs, the hardware to plan for, and what KhataFlow, EthicsComputer's GST billing and ledger software, costs and includes. It also tells you when a cheaper app will do the job.
Quick answer: Billing software price for a shop in India depends on how you pay: a monthly or yearly subscription, a one-time licence with yearly renewals, or a custom build. On top of that, budget for a thermal printer, barcode scanner and cash drawer, setup and training, and GST if the price shown excludes it. KhataFlow costs ₹9,999 one-time for setup plus ₹2,499 a month.
Three ways shops pay for billing software
| Model | How you pay | Suits | Watch out for |
|---|---|---|---|
| Subscription (cloud or mobile app) | Monthly or yearly plan | Shops that want a low upfront cost and automatic updates | Limits on invoices, users or devices, and the renewal price |
| One-time licence (desktop) | Upfront licence, usually with a yearly renewal for updates and support | Shops with one fixed counter computer | Renewal fees, and backups that become your job |
| Custom-built software | Project quote plus a support plan | Chains or shops with unusual workflows | Higher upfront cost and clear ownership terms |
Published vendor guides give a sense of the range. Petpooja's guide (published 24 May 2026, updated 11 August 2026) puts the full range for retail billing software at ₹399 to ₹22,500 and says most retail store owners land in the ₹3,000 to ₹9,000 per year band. GoFrugal's guide (dated 6 May 2026) lists entry-level one-time licences at ₹5,000–₹15,000 and entry-level subscriptions at ₹500–₹1,500 a month. Both are software vendors describing their own market, so treat these as starting points, not quotes.
What a shop actually needs from billing software
It is easy to pay for features you never use and miss the ones you need on a busy evening. Check every plan against this list.
- GST invoices: a correct tax invoice with your GSTIN, HSN codes and the right tax split, or a bill of supply if you are registered under the composition scheme. The free GST calculator helps you check the tax on a bill.
- Fast barcode billing: scan, print and take payment in seconds when the counter is crowded.
- Stock: items, purchase entries and low-stock alerts, so billing and stock stay in step.
- Udhaar ledger: each credit customer's balance, payment entries and reminders, so credit does not live in a notebook.
- Payment modes: cash, UPI, card and split payments, with a daily closing report that matches the cash drawer.
- Users and permissions: separate staff logins, with discounts, deletions and reports limited to the owner.
- Reports for your CA: sales, purchase and GST summaries you can hand over for GST return filing.
- Backups and export: your data, including customer balances, should export in a standard format at any time.
E-invoicing is often sold as a must-have, but it applies only to B2B and export invoices of businesses whose aggregate turnover has crossed the threshold, which is five crore rupees under the current rule. Sales to ordinary customers are not e-invoiced. If you are unsure, check the GST e-invoice portal or ask your CA before paying extra for it.
Hardware to budget for
Software is only half of a billing counter. Petpooja's guide gives these published price ranges for the usual hardware.
| Item | What it does | Published range |
|---|---|---|
| Thermal receipt printer | Prints bills quickly without ink | ₹3,500 to ₹8,000 |
| Barcode scanner | Reads item codes at the counter | ₹1,500 to ₹4,000 |
| Cash drawer | Keeps cash locked between bills | ₹2,000 to ₹3,500 |
Also plan for a computer or tablet, a label printer if you print your own barcodes, a UPS for power cuts and a mobile hotspot as internet backup for cloud software. Before you buy, confirm that the software supports your printer's roll width (2-inch or 3-inch) and your scanner model.
What KhataFlow costs and includes
KhataFlow is EthicsComputer's GST billing, invoicing and ledger software. It costs ₹9,999 one-time for setup plus ₹2,499 a month.
- Setup: thermal printer and barcode scanner setup, and on-site staff training in Hindi or English.
- Monthly plan: 5 users and 500 invoices a month, with GST filing and automated ledgers.
- Features: typically GST invoices with HSN mapping, debtor ledgers that show who owes what, and payment reminders by WhatsApp and email.
- Trial: a 7-day trial before you commit.
KhataFlow is not the cheapest option in this guide, and it is not meant to be. If you run a single counter, make a handful of bills a day and are happy to set up a phone app yourself, a low-cost subscription app may be all you need. KhataFlow suits shops that want the printer and scanner set up for them, staff trained at the counter, several users, and credit customers followed up without a notebook. Use the trial to check it against every item in the list above before you pay.
Questions to ask before you pay
- Is GST included in the price shown?
- What happens when I cross the invoice, user or device limit?
- What does the plan or renewal cost after the first year?
- Does it work with my printer and scanner models?
- Can I export all my data, including customer balances, if I leave?
- Who trains my staff, and in which language?
- How are backups taken, and where is my data stored?
- Whom do I call when billing stops on a busy day?
