Moving Payroll from Excel to an HRMS: A Step-by-Step Checklist

A rushed switch from an Excel payroll sheet to an HRMS can produce wrong salaries in month one. This checklist covers rules, employee data, biometric devices, statutory settings and the parallel run.

IN THIS ARTICLE (11 Sections)

Many Indian businesses run payroll in Excel far longer than they should. The sheet works until the person who built it goes on leave, a formula breaks in the overtime column, or an inspector asks for registers that take days to put together. Moving to an HRMS fixes this, but only if the move is planned. A rushed switch can produce wrong salaries in the first month, which costs more staff trust than the old spreadsheet ever did.

This checklist walks through the move step by step: writing down attendance and pay rules, cleaning the employee master, connecting biometric devices, setting up statutory deductions, and running a parallel payroll before you retire the spreadsheet.

Quick answer: To move payroll from Excel to an HRMS, first document every salary component, attendance rule and leave policy, including the unwritten ones. Clean the employee master (UAN, ESI number, PAN, bank details), connect your biometric devices, and load opening leave and year-to-date figures. Then run at least one month in parallel and compare every employee's salary before switching over.

Step 1: Write down the rules that live in people's heads

Your Excel sheet contains formulas, but many rules sit only in the payroll clerk's memory: who gets a grace period, how a half day is counted, which department is paid overtime. An HRMS can only apply rules that someone has written down.

  • Shifts: start and end times, night shifts, rotations and break rules.
  • Late marks and half days: grace minutes, how many late marks add up to a half-day deduction, and who can waive them.
  • Overtime: who is eligible, the rate, whether approval comes before or after, and any monthly cap.
  • Weekly offs and holidays: fixed or rotational weekly off, holiday lists by location, and pay for working on a holiday.
  • Leave: leave types, accrual, carry-forward, encashment, sandwich rules and comp-off.

Ask each department head to confirm the rules for their team. You will often find two departments following different practices that nobody had noticed.

Step 2: List every salary component and statutory setting

List each earning and deduction, how it is calculated and whether it is fixed or variable: basic, HRA, other allowances, incentives, overtime, arrears, advances and loan recoveries, canteen or uniform deductions. Note which components count towards PF and ESI wages, because that decides the statutory deductions.

Then list the statutory items that apply to you: PF, ESI, TDS on salary based on each employee's chosen tax regime and declarations, and professional tax or labour welfare fund in states that levy them. Contribution rates, wage ceilings and the definition of wages under the labour codes can change, so make sure the HRMS keeps them as editable settings rather than fixed formulas. Check current figures on the EPFO website and the ESIC portal, and confirm the treatment of special components with your payroll adviser. This is general information, not legal or tax advice; confirm the details for your case.

Step 3: Clean the employee master

Wrong master data is the most common reason a first HRMS payroll goes wrong. Before migration, collect and verify these fields for every employee.

FieldWhy it mattersWhere to find it
Employee code and date of joiningLinks attendance, leave and salary historyHR files and appointment letters
UAN and ESI IP numberNeeded for PF and ESI returnsPrevious returns and portal records
PAN and tax regime choiceDrives TDS on salaryEmployee declarations
Bank account and IFSCSalary transfer fileCancelled cheque or bank letter
Salary structureComponent-wise monthly payCurrent payroll sheet and offer letters
Biometric enrolment IDMaps each punch to the right personDevice user list

Look out for duplicates, employees who have left but are still on the sheet, and bank details that were changed by message without a written request.

Step 4: Connect your attendance devices

If attendance is on biometric machines, make a list of every device: brand, model, location, and whether it connects over the local network, the internet or only by USB export. Devices that only support USB export will need a workaround or a replacement. Then decide:

  • How often punches are pulled into the HRMS, and what happens when a device goes offline.
  • Who corrects missed punches, and whether corrections need a manager's approval.
  • How field staff mark attendance, for example a mobile app with location check-in.
  • Who checks that device clocks are correct, because a clock running a few minutes fast creates late marks for everyone.

Our HRMS and payroll software page lists the device connections and attendance modes we usually set up.

Step 5: Load opening balances and run a parallel payroll

Opening balances

If you switch in the middle of a financial year, the HRMS needs history to calculate correctly:

  • Leave balances for every employee as of the cut-over date.
  • Outstanding loans and advances, with the remaining instalments.
  • Year-to-date salary and TDS already deducted, so annual tax projections are right.
  • Pending arrears, increments due, and full-and-final settlements in progress.

The parallel run

Run at least one full month, preferably two, in both Excel and the HRMS. Compare net pay employee by employee, not only the total. Every difference has a cause: a rule written differently, a missing master field, or an old error in the spreadsheet that nobody had caught. Fix the cause, not the number.

Before the final switch, check that the HRMS produces every output you need: the salary transfer file in your bank's format, the PF ECR file, ESI contribution data, payslips, and the registers your auditor or a labour inspector may ask for. Restrict salary data to the people who need it and keep an audit log of changes to pay and bank details, because employee data is personal data under the DPDP Act.

Mistakes to avoid

  • Switching in the busiest month: avoid the month of increments, bonus payouts or year-end tax proof collection.
  • Skipping the parallel run: one month of comparison costs far less than a month of salary corrections and complaints.
  • Giving everyone admin rights: limit who can edit salary structures and bank details, and log every change.
  • Forgetting the employees: tell staff how they will see payslips, apply for leave and request attendance corrections before the first HRMS payroll.

How EthicsComputer can help

EthicsComputer builds custom HRMS and payroll systems around your own rules, with biometric sync, shift rosters, statutory outputs and employee self-service, and no per-user fees. See our HRMS and payroll software service for the modules and delivery process.
