Refund & Cancellation Policy
Last updated: May 27, 2026. This policy describes billing rules for SaaS licensing, cybersecurity audits, and custom software.
1. Subscription Billing & SaaS Plans
For software-as-a-service licensing (including the KhataFlow system, dynamic HRMS, or customized CRM configurations), billing cycles operate on a monthly or annual auto-renewing basis.
- Cancellations: You can terminate your SaaS subscription plan at any time through your Client Portal dashboard. Terminating a subscription ensures that it will not auto-renew at the next cycle.
- Refunds: Payments for SaaS subscription licenses are non-refundable. However, we provide a 7-day risk-free trial period for new clients to evaluate product workflows prior to payment.
2. Enterprise Services & Milestone Billings
For custom project contracts (such as bespoke Software Development, AWS cloud deployments, CERT-In cybersecurity sweeps, and B2B corporate training programs), transactions operate on structured milestones defined in our contract files:
- Initial Retainers: Upfront contract retainers used to allocate hardware, engineering resources, and dedicated project staff are strictly non-refundable.
- Milestone Payments: If a client halts development mid-project, completed milestones are billed in full according to the contract's breakdown values. Refunds for active, uncompleted milestones will be evaluated on a case-by-case basis.
3. Processing Refunds
In cases where a refund is approved by our management team (due to transaction errors or unmet SLA deliverables), payments are returned via the original payment gateway or bank account within **7 to 10 business days**.
